Designing Accessible PDFs with Microsoft Word for Inclusive Communication

Our Challenge

Barefoot PR is dedicated to discovering new ways to help our clients provide accessible technology and tools to their audiences and staff. When a staff member with a visual impairment from Maiker Housing Partners, an affordable housing organization dedicated to socially conscious community development, pointed out the PDF flyer template was not accessible, Maiker asked us to create a new template to share upcoming events and news that was accessible for staff and community members.

Our Solution

Barefoot PR created flyer templates that were visually appealing and fully accessible for individuals using assistive technology. Collaborating closely with the community organizer, the team ensured the PDFs were compatible with screen readers using Microsoft Word. By embedding designed background images, using alternative text to describe text input boxes and using the Accessibility Checker, Barefoot PR and Maiker worked together to identify and resolve errors.A side by side mockup of the accessible PDFs in English and Spanish

This process resulted in user-friendly, editable templates that empowered the whole team to easily update, print and share materials.

“It is a lot easier! Thanks for working on this for me.”
